Thank you for choosing Grassroots as your preferred cleaning service. This guide will help you understand our policies and capabilities. We hope you enjoy our service, and we welcome your feedback!

 

INITIAL CONSULTATION

Prospective clients may either call or e-mail to schedule an appointment for an in-home or in-office consultation. A consultation generally lasts between twenty and forty minutes. The prospective client and a Grassroots Organic Cleaning consultant will meet at the client’s home or office to discuss the following:

  • Household or office needs as well as Grassroots Organic Cleaning Service’s policies, service guide, payments, schedules, and any questions you might have.
  • A sample home- or office-cleaning plan, complete with room-by-room checklists, will be developed and available for your review within two business days. Once reviewed and approved, you and Caitlin McClure will sign the service contract and arrange a date for services to begin.
  • Emergency information forms will be filled out.

A set of keys is to be provided to Grassroots Organic Cleaning Service before the date of service begins.

Please keep in mind that the consultation is a time for all parties to meet and share information regarding the servicing of the home or office. Not all cleaner-client matches are appropriate; therefore, we reserve the right to decline services.

 

OUR SERVICES

Visits are generally between two and four hours long, depending on the needs of your household or office. Grassroots Organic Cleaning Service will:

  • give you a set time for your cleaning, with a reasonable variance to allow for traffic and road conditions;
  • complete all services described in the home or office plan;
  • provide our own cleaning products and tools, except as agreed upon according to your preferences;
  • make suggestions with regard to cleaning products and procedures to ensure prompt and thorough cleaning of the household or office.

Grassroots Organic Cleaning Service cannot:

  • Provide service during the summer months to homes or offices without adequate air conditioning, or provide service during the winter months to homes without adequate heating.
  • Provide services to households with unsupervised pets unless discussed and approved with your cleaning consultant. (Please gate or crate your pet.)
  • Provide services to households during times that the house is occupied by unsupervised children or teenagers.
  • Provide services other than housecleaning. (Please feel free to inquire about referrals for vendors of other services.)
  • Operate appliances.
  • Let in service people such as water meter readers, UPS drivers, etc.
  • Feed pets or clean up pet accidents.

 

HOURS OF OPERATION

Grassroots Organic Cleaning Service generally provides services for housecleaning between 9 AM and 5 PM, Monday through Friday. Office cleaning appointments may be scheduled during non-business hours when appropriate. Business hours for voicemail are between 9 AM and 5 PM, Monday through Friday; email may be sent at any time. When phoning or emailing reservations, always wait for a confirmation. Our general response time is 48 hours.

 

 

INCLEMENT WEATHER

Grassroots Organic Cleaning Service will provide limited, delayed, or no service during incidents of inclement weather:

  • We will not provide service during heavy snow, sleet, ice, or hurricane-like weather.
  • Limited or delayed service may occur in extreme thunderstorms, in dangerously cold or hot conditions, and in any city- or state-declared weather emergency.
  • All visits during a period of inclement weather will be on an hourly advisory status depending on driving conditions.

 

SAFETY

Please notify Grassroots Organic Cleaning Service in advance (a few days is ideal) of any person or people who may be in your home during the time of the cleaning service. This includes family members, service contractors, repair personnel, etc. Grassroots Organic Cleaning Service reserves the right to reschedule visits that coincide with a visit by another service contractor or house guest.

 

RATES

  • Initial consultations are free of charge.
  • Cleaning rates are variable, based upon the size of the space and the procedures performed. A custom rate will be stated in the service contract after completion of the in-home or in-office estimate.
  • Weekend visits are billed with a 20% charge in addition to the set rate.

 

RESERVATIONS

To schedule a weekly visit, please phone or email your reservation by 7 PM Friday for the following week. Always wait for a confirmation via email or telephone. We can sometimes accommodate unplanned requests if we have a cancellation. However, we can rarely do so with less than 24 hours notice.

 

CANCELLATIONS

  • Please phone or email (and wait for confirmation) for all cancellations.
  • Cancellations with less than 48 hours notice (weekends and holidays included) are charged a flat rate of $70. The only exception is inclement weather.
  • Excessive cancellations with less than 48 hours notice may lead to cessation of services. Please be sure of all dates and times when you email or phone in your request. Calling to cancel on the day of a scheduled visit can cause hardship for our cleaning consultants. We understand that emergencies arise, and that you may need to occasionally cancel services with less than 48 hours notice. Please reserve such cancellations for emergencies only.

 

BILLING AND PAYMENTS

A billing statement will be prepared every Monday and either emailed to you or left at your residence. Payment should be made within four days of the last service date, weekends and holidays included.

 

PAYMENT OPTIONS

  • You may leave a check or money order at your residence on the day of the service. Please make checks and money orders payable to Grassroots Organic Cleaning Service.
  • Please do not postdate checks or money orders.
  • You may mail a check or money order; note that payments received after the due date are subject to late fees.
  • At this time we cannot accept payments via credit card.
  • For security reasons we do not accept cash left at residences. If you would like to pay cash, please call or email us to arrange an appointment to do so.
  • Occasionally, we barter for services. If you have a professional service that you think may be of use to us, please feel free to ask! Bartering is one way that communities and small businesses can help each other.
  • Grassroots Organic Cleaning Service can issue a receipt within 48 hours after payment is received. The receipt will be sent to you via email or left at your residence. In some instances, a receipt may be mailed to an address specified by the client.

 

LATE PAYMENTS

Payments that are received beyond the due date listed on your billing statement are subject to late fees of $1.00/day (weekends and holidays included) until the account is brought up to date. In cases of frequent late payments, Grassroots Organic Cleaning Service reserves the right to terminate services. Additional fees may be imposed for closed accounts and returned checks. In such cases, you will be charged $30 for each returned check (This covers the service fee imposed on us by our bank), and any additional fees that are charged to us, as well as daily late fees that accrue until the account is brought up to date.
